Stop Losing Customers to Voicemail. Build an AI Voice Agent That Answers Every Call.
Connect a no-code voice AI platform, such as Bland AI or Vapi, to your existing business phone number, feed it a short written knowledge base of your hours, prices, and policies, and set one rule: resolve it or hand it to a human. Most small businesses can have a working agent answering real calls within a day, for a startup cost near zero and a per-minute rate under fifteen cents.
Every call your business does not answer is a call your competitor does.
The Call You Never Picked Up
Nearly half of The Harbour Chandler's calls went unanswered. Not because the staff were lazy. Because they were busy, standing at the counter with a paying customer in front of them while the phone rang itself out in the back office.
The Harbour Chandler is a marine and fishing retailer that has sold gear out of Nanaimo, British Columbia since 1986. Real counter, real regulars, real Shopify store shipping across Canada and the US. By 2025, growth had outrun the team. Callers waited around 25 seconds before anyone picked up, and roughly half the time, nobody did. In marine retail, a missed call is a customer who dials the next shop down the coast.
"Honest answer: we were behind," CEO Matt Price said. "Fishermen would call about a part, hit voicemail, and buy from someone else. Meanwhile my team spent whole days typing vendor data into Shopify. We knew both had to change."
What Actually Changed
In August 2025, the shop connected an AI voice agent to its existing phone lines. No new hardware, no number change, no call center. Two agents, named Curtis and James by the vendor, started picking up the moment a call would roll past a busy counter, and they stayed on duty after the doors closed.
They do three things: take the caller's name and number, understand what the caller actually needs, and either answer it on the spot from a knowledge base or book a callback straight into the calendar. Every call gets tagged by department, Parts, Electronics, Fishing, Website, and lands in the right inbox with a transcript attached.
Nine months of results were enough for Price to sign off on a second phase: an agent named Fisher that does not just take a message, it closes the sale. Fisher checks live stock and pricing against the shop's own catalog mid-call, then texts the customer a checkout link before the call ends. No callback, no phone tag.

This Is Not a Retail-Only Problem
Swap the marine shop for a dental clinic that loses patients to the practice down the road because nobody answers during procedures. Swap it for a plumber who is elbow deep in a boiler when a new customer calls, hangs up after two rings, and books the next name on the search results page. Swap it for a two-person bookkeeping firm where every call goes to voicemail during tax season, the exact season new clients are trying hardest to reach someone.
The shape of the problem is identical everywhere. A phone is a single-threaded device, and a small business owner or their staff can only be on one call at a time, while doing the actual work the business exists to do. The fix does not care what you sell. It cares whether you have a knowledge base and a phone number.
You Do Not Need a Custom Build to Do This
Here is the part that matters for a business with no engineering budget. The Harbour Chandler used a paid agency to build its stack. You do not have to. The same category of voice AI is available off the shelf, and the pricing is public.
Bland AI's entry plan has no platform fee and no card required to start: $0.14 a minute for talk time, plus a free inbound number worth $15 a month, ten concurrent calls, and up to 100 calls a day. Vapi runs $0.05 a minute for hosting with the model costs passed through at cost, and its own published example lands around $50 a month for a working setup with 60-plus minutes of calls included. Neither requires a developer to configure a first agent.
If your shop takes 200 calls a month at three minutes each, that is roughly 600 minutes. On Bland's entry rate, talk time alone runs about $84 a month. Compare that to the cost of the sales you lose when half your calls go to voicemail, or the cost of a part-time hire just to cover the phone during lunch rushes.
The Blueprint: Build It In an Afternoon
This is the actual sequence, not a sales pitch for one vendor. Swap in whichever platform fits your budget: Bland AI, Vapi, Retell, or Synthflow all work on the same logic.
Step 1: Pick a platform and connect your number
Sign up for the entry tier. Either port your existing business number in, or forward your current line to the new AI number during setup, so customers keep dialing the number they already know. Most platforms integrate directly with Twilio if your number already runs through it.
Step 2: Write the one-page brain
Before touching the platform's dashboard, write a plain document: your hours, your top ten product or service categories, your pricing ranges, your return or booking policy, and the two or three questions your staff get asked most. This document becomes the agent's knowledge base. The better this document is, the fewer calls escalate.
Step 3: Set the one non-negotiable rule
The agent must do exactly one of two things on every call: answer it correctly from the knowledge base, or hand it to a human with full context. It should never guess. Configure a clear escalation trigger, anything about pricing disputes, complaints, or anything not in the knowledge base routes straight to a callback booking or a live transfer.
Step 4: Wire up notifications and logging
Connect the platform's webhook or native integration to wherever your team already lives, Slack, Microsoft Teams, or even a shared email inbox. Every call should land there automatically with the caller's name, number, intent, and a transcript. This is also your paper trail for measuring whether the thing is working.
Step 5: Test it like a suspicious customer
Before you point your real number at it, call it yourself. Ask it something it should know. Ask it something it should not know, and confirm it escalates instead of making something up. Ask it to book a callback. Only after it survives that gauntlet do you flip the switch on your live line.
How the call actually flows
Existing business number, no change for the caller
Greets, identifies caller, understands intent
Hours, pricing, stock, policies
Answers directly, or texts a link to book or check out
Books a callback or live-transfers to a human
Transcript, caller intent, and outcome land in Slack, Teams, or your CRM
The Trap: Do Not Automate Your Team Out of the Good Calls
The point is not to remove people from the phone. It is to make sure the calls your team actually handles are the ones worth their time. The Harbour Chandler did not fire anyone. It gave its staff back the hours they used to spend on voicemail triage, and pointed the AI at the repetitive 80% so humans could focus on the calls that need judgment: complaints, big orders, anything emotional.
If your agent starts closing sales the way Fisher does, keep a human in the loop for anything above a threshold you set. An AI that quietly overpromises on a return policy or misquotes a price will cost you more in cleanup than the missed calls ever did.
What This Actually Costs, Side by Side
| Platform | Talk-time rate | Platform fee | What's included |
|---|---|---|---|
| Bland AI (Start) | $0.14/min | $0, no card required | Free inbound number ($15/mo value), 10 concurrent calls, 100 calls/day, 10 knowledge bases |
| Vapi (Build) | $0.05/min hosting + model costs at cost | Usage-based | 60+ minutes included, 10 call concurrency, example setup runs about $50/mo total |

Do I need a developer to set this up?
No. Platforms like Bland AI and Vapi are built for non-technical setup through a web dashboard. Writing the knowledge base document and testing the call flow is the real work, and that is business knowledge, not code.
Will customers know they are talking to an AI?
Most modern voice agents disclose this or it becomes obvious quickly, and that is fine. Customers care far more about getting an answer immediately than about who or what answers, especially outside business hours.
What happens when the AI cannot answer a question?
A properly configured agent escalates instead of guessing: it books a callback with full context or transfers the caller live to a person. The one rule that matters most in setup is that the agent never invents an answer it does not have.
How much would this cost a small shop taking around 200 calls a month?
At roughly three minutes per call, that is about 600 minutes a month. On Bland AI's entry rate of $0.14 a minute, talk time alone runs near $84 a month, with no platform fee on the entry tier. Compare that to one missed sale a week.
Does this only work for phone calls?
The underlying pattern, a knowledge base plus an escalation rule plus automatic logging, works the same way for WhatsApp, web chat, or email. Voice is simply where most small businesses lose the most volume first, because a ringing phone cannot be answered later.
